5th Grade Meeting Notes from September 13, 2010

Fifth Grade Committee Meetings:
Will be held once a month on a Monday night agreed by Fifth Grade Committee except for the next two meetings which will be on the following dates:
Monday September 27th, 2010 in Ms. Bookman’s room from 4:00 pm to 5:00 pm
And
Monday October 11th, 2010 in Media Center following SAC meeting

SAC Meeting will start at 4:15 pm till 5:00 pm
Fifth Grade Committee Meeting will start at 5:00 pm – 6:15 pm

First meeting of 2010-2011 Fifth Grade Committee started September 13, 2010 at 6:00 pm in Ms. Bookman’s room.

Dates for Fifth Grade Celebration:
October 5th, 2010 Fifth Grade Group Picture Day (pending approval from Mr. McCanna)
June 6, 2010 Autograph Breakfast from 9:50 am to 10:50 am
June 6, 2010 Rehearsal for Award Ceremony 11:00 am to 1:00 pm
June 7, 2010 Award Ceremony 9:30 am to 12:30 pm
June 8, 2010 Fifth Grade Celebration Dance 11:30 am to 2:30

Theme of Fifth Grade Celebration is “Red Carpet”.


New Business:
Robin updated us on the sales of the head phones. She reported we made about $500.00 on the head phones and that the PTA was also contributing another $500.00 giving the started funds for the Fifth Grade Committee of $1,000.00. She also informed us that last year the cost of the Fifth Grade Celebration was about 2,500.00.

Fifth Grade T-Shirt orders:
Our cost of shirts will be between $6.00 and $8.00 dollars. The Fifth Grade Committee has determined the price of pre-sales at $12.00 per shirt until September 17th, 2010 which can be changed if agreed by Fifth Grade Committee. After September 17th, 2010 the cost of the shirts will be $15.00 each.
Ms. Bookman is going to see about putting out a Robo message for the pre-order of the shirts. The Fifth Grade Committee has suggested ordering 140 shirts for the students, donate 6 for each one of the fifth grade teachers, donate 3 for the front office staff: Sherry, Maryan and Sandra, donate one for Ms. Calamaro and donate one for Mr. McCanna.

Food:
Ms. Bookman offered to get price list from school cafeteria to see if we can order food for the Autograph Breakfast and Fifth Grade Dance. The Fifth Grade Committee all agreed that it would most likely be more cost effective to go through the school cafeteria.

For Autograph Breakfast:
The Fifth Grade Committee discussed a continental breakfast to included but not limited to eggs, sausage, bacon, bagels, cream cheese, butter, muffins, fruit, orange juice and milk. Fifth Grade Committee will ask Ms. Amanda Muir if she would be willing to send a survey for what the children would like to have served at the Autograph Breakfast. Then pending approval from Fifth Grade Committee and Mr. McCann.

For Fifth Grade Dance:
The Fifth Grade Committee discussed having lunch serve buffet style at tables outside of classrooms to bring into classrooms to sit down and eat at there desks. Then to proceed to the dance where there will be chips, cookies, cupcakes and water pending approval of Fifth Grade Committee and Mr. McCanna.

DJ:
Robin informed the Fifth Grade Committee that we have a DJ for the Fifth Grade Dance at no cost. Fifth Grade Committee discussed asking for two dancers to attend with the DJ.

Fundraising:
1. Fifth Grade Committee discussed having a silent auction on science night pending approval from Mr. McCanna. Silent Auction will be on items donated to Fifth Grade Committee.

2. Krispy Kreamers to be sold in carpool line in mornings pending approval from Mr. McCanna.

3. Smencils (www.Mollynicholson.com) to be sold pending approval from Mr. McCanna.
Holiday Grams to be sold at different times during the year with theme of the time of year. Example Halloween grams, Valentine grams, Turkey grams etc.. pending approval from Mr. McCanna.

4. Shirt Day pay a dollar and wear your favorite shirt day pending approval from Mr. McCanna.

5. Fifth Grade Committee discussed Pillowgraphs using the Fifth Grade T-Shirts and having community service kids or volunteers come sew and stuff them into pillows to have them autographed. Melanie offered to bring in her sewing machine for use.

6. Fifth Grade Committee agreed to help Ms. Bookman in her quest for Fifth Grade Educational Field Trip with any extra fund raising money to go to the Fifth Grade Field Trip fund for fifth grade children who otherwise would not be able to go on the field trips due to cost.

Photographer:
Maria offered her husband J.J. who is a photographer to come and take the fifth grade group picture.

Decorations:
Fifth Grade Committee will ask each fifth grade class to make a billboard or poster to go with the theme of the Fifth Grade dance as part as the decorations.
Fifth Grade Committee discussed some ideas including but not limited to movie posters, curtains, disco ball, glitter and candy bar with kids names on them or decorated to theme.

Favor Bags:
Fifth Grade Committee discussed looking into the cost of having pictures of the kids taken as they enter the dance and given to the kids as a favors.
Fifth Grade Committee discussed giving the kids a favor bag at the end of the dance for them to take home with little items in it to remember their Fifth Grade Dance by. Fifth Grade Committee recommended looking at Oriental Trader and Michael’s as a starting point to find those items for the favor bags.

Donations:
Fifth Grade Committee discussed how we can get some donations for the following items: Water bottles for the kids at the dance with their names and teachers names on the bottle & food donated for the autograph breakfast and the Fifth Grade Dance.

Future Activities for Fifth Grade Committee:
Maria is to meet with Ms. Bookman on Friday September 17th, 2010 to prepare and organize for the next Fifth Grade Committee meeting.
Fifth Grade Committee discussed setting up a budget at the next meeting.

Decoration suggestions: disco balls, director, wall decorations from student's classes
Art teacher requested to assist with ideas or the creation of ideas for decorations (please and thank you)
Fifth Graders Decorate a candy bar with student name
Purchased Decorations/Party Favor Ideas: Oriental Trader and Michael's with coupons
Idea Suggestion to consider:
a. Pictures were costly and some took too many some did not get any photos
b. Picture frames
c. DJ / school board approved
d. Photographer - photo of all graduating class
e. Food ideas pizza, McDonald ate in the classroom prior to the dance
f. Water cooler for the dance hall
g. children have their own cups with name and teacher
h. Robo call to parents to purchase shirts for the picture
i. Sell Spirit Shirts at car rider line holding sign in AM/PM

Fifth Grade Breakfast is 10:00-11:00 autograph yearbook & shirts following to Nova Middle school and practice for the awards: Monday, June 6, 2011
Food for breakfast may be order through cafeteria and volunteers to serve it
Cafe will order and prepare food for the students

Ideas: order milk, orange juice, French toast
Children can vote through quia/web (Cindee F. has a QUIA Account and will assist with the creation of the survey)

Award ceremony 9:30-12:30 Tuesday, June 7, 2011
Dance over at 2:30 must be cleaned up and will begin at 11:30-2:30 and held on Wednesday, June 8, 2011

Fundraisers needed to make this a memorable year for the graduating class of 2011:
Recommendations for Fundraisers:
smelly pencils
crispy cream donuts (questionable suggestion but will seek Principal permission)
Shirt day is also a good fundraisers/sport day theme

Science night and book fair night: promote fundraisers
Spirit tags for sale through catalog

Time for next meeting suggested from 5-6 pm once per month
Coordinate with SAC Calendar Meeting Dates Held on Mondays

Field Trip Planning:

Field trip with fifth grade for behind scene with Disney Kingdom Keepers field trip
One day trip major cost is the buses approximate $2,000.00 fundraiser surplus to assist in the reduction of parent cost.
Grant writing Ms. B based on book kingdom keepers, the grant proposal is
due on or before September 23, 2010.

Goal of teachers: 100 percent 5th grade student participation in the field trip; funds needed to meet this goal.
